What exactly does Neumotik do?

We build two things for companies in Portugal. The first is custom management software: ERP, CRM, internal portals and platforms designed around the company real process, instead of forcing it to fit an off-the-shelf product. The second is artificial intelligence working inside those systems, in the form of agents that look up data, handle repetitive tasks and answer with the source visible. The code, the infrastructure and the documentation stay in the client ownership, and data is hosted in the European Union.

When is it worth building a custom ERP or CRM instead of buying one?

It is worth it when your process has rules the off-the-shelf product does not accept, and the team already keeps spreadsheets alongside it to work around that. It is also worth it when per-seat licence costs grow faster than the business, or when information is spread across systems that do not talk. It is not worth it when the process is common to your sector and an existing tool covers it well, when there is no clarity yet on the problem, or when the budget is under €5,000. In those cases we say so in the assessment.

Do you integrate with the ERP and CRM we already use?

Yes, and that is almost always the starting point. We integrate by API where one exists, by database where it does not, and by files or webhooks where that is what is available. The goal is not to replace what already works: it is to connect what is separated and build from scratch only what is genuinely missing. Replacing everything at once is usually the most expensive and the riskiest option.

What kind of results can I expect?

We do not promise percentages before we understand your operation, because that would be making things up. In the diagnosis we pick one concrete process, measure what it costs you today in time and money, and agree with you on the metric we will track. If the numbers do not add up, we say so before starting. Gains typically show up as team hours freed, manual errors removed, and decisions made on current data instead of reports closed weeks later.

How long until I see results?

Most projects take between 8 and 16 weeks of implementation. More focused projects can be delivered in 6 weeks; complex platforms may take 6 months or more. We set realistic timelines during the proposal phase and we deliver.

What if I'm not happy with the result?

The risk is controlled by the process, not by a promise. Before any code is written we validate prototypes and wireframes with you. During implementation there are demos every 2 weeks, with adjustments within the agreed scope. At the end of the first phase there is a formal decision point where you choose whether to continue. By final delivery, you have approved the product several times.

How does payment work?

Typically split into 3 phases: 30% at kickoff, 40% mid-project, and 30% at final delivery. For larger projects, we can define payment milestones aligned with partial deliveries. Everything is detailed in the proposal.

Do you offer maintenance after delivery?

Yes. The first 3 months of technical support are included. After that we offer maintenance and continuous evolution contracts tailored to your needs, but never as a dependency: the code, the infrastructure and the documentation are yours, and you can hand maintenance to another team whenever you want.

Custom software vs SaaS - when is it worth the investment?

A SaaS tool like Salesforce or Monday costs €25-100/user/month, which seems cheap at first. But when you add 50 users over 5 years, you're paying €75,000 to €300,000 for a generic tool that doesn't adapt to your business. Custom software has a higher upfront investment, but it's yours forever - no monthly per-user fees, and it does exactly what your business needs. For companies with specific processes or more than 20 users, the break-even typically happens between 12 and 24 months.

We already give the team ChatGPT. How is this different?

Those tools are good at writing text and answering from what exists on the internet. They do not know your client history, do not open the CRM, do not follow your internal rules and leave no record of what they did. They help one person work faster; they do not handle the process. A custom agent works on your data, carries out the task in your systems and shows the source of every answer.

Is my company data safe? Where is it hosted?

The systems we build run on infrastructure in the European Union and your company data is not used to train public models. We define upfront what information each agent can read and what actions it can take, with per-user usage logging. We sign an NDA by default, before any technical conversation.

What if the AI answers badly or makes things up?

That is the right concern, and it is handled with engineering rather than promises. Agents do not answer from memory: they answer from your company documents and systems, and show the source of every answer so anyone can verify it. For actions with real impact, such as sending a proposal or changing a CRM record, we agree with you which ones require human approval. Before going to production, we test against real cases from your business.

Will this replace my team?

In practice that is not what happens. The processes worth automating are the ones nobody enjoys: copying data between systems, hunting for scattered information, filling in reports. The team keeps doing the work that needs judgement and customer relationships, with fewer hours lost to mechanical tasks. We involve the people who actually run the process from the design stage, because they are the ones who know where the exceptions are.

Do I become dependent on Neumotik?

No. The code and the infrastructure are yours. We hand over technical documentation, access and team training, and the system runs in accounts your company controls. If you want to move maintenance to another team or bring it in-house, you can do it without renegotiating anything with us.

How much does a project like this cost?

It depends on scope, but we give reference bands upfront to save both sides time. A first agent in production, connected to a real system, typically lands between €7,500 and €15,000. An internal AI platform with several department agents and ERP or CRM integration lands between €25,000 and €45,000. Custom CRM or ERP projects start around €15,000. The exact figure is fixed in the proposal, after the diagnosis, and does not change midway.
